Schedule Types

Schedule Types are used when filling out Timesheets.

At least one Schedule Type needs to be setup before the Field Flow (mobile app) can be used for timesheets.

Times entered against a Schedule Type are then assigned to the Time Rate when a timesheet entry is approved.

Setting up a Schedule Type

The following fields are required for a Schedule Type.

  • Name
  • (Default) Time Rate
  • At least one Weekday selected (to be active on the app)

Once the Schedule Type has been created, it needs to be assigned to at least one Team before it’s visible on the app.

Additional options can be applied as conditions to making a Schedule Type available.

  • Future Schedule: By default, schedule types can’t be selected for timesheets in the future. Select this option if the schedule type can be used for a future timesheet – e.g. Annual Leave
  • Leave Schedule: Leave schedules can’t be used when the timesheet is used for a job
  • Job Required: Forces mandatory job selection for the timesheet
  • Schedule Required: Only available if the timesheet has been scheduled to the staff (not available for Timeflow lite)
  • Shift Required: Only available if the timesheet is assigned to a shift (not available for Timeflow lite)
  • Attachment Required: Only valid if an attachment is added to the timesheet.

Assigning Multiple Time Rates

Each Schedule Type has a (default) Time Rate.

If the Schedule Type requires multiple rates based on the time entries, then the multiple Time Rates can be entered in the Rate tab.

e.g. Normal Time and Over Time

For each day that requires multiple time rates,

  • Click on Add Rate
  • Enter in the Start Minutes – must be a minimum of 1
    • Note: It’s recommended that start minutes are calculated in order
  • Select the Time Rate

If a timesheet calculation does not match any of the time rates, then the default time rate will be applied for the time entry.
